Check a delivery and complete a receiving job
Receiving jobs help employees record what actually arrived, including shortages, notes and delivery photos. Receiving must be enabled for the workspace, and you need access to the job.
Important: checking a delivery does not add inventory stock. Posting accepted quantities through Sync Order Items is a separate authorised action.
Open Receiving and select the job matching the supplier delivery or order number. Check its assignment and status before starting.
Compare the delivered goods with the order items. Open an item to record the quantity actually received, using the displayed unit rather than assuming boxes and individual units are interchangeable.
Record an expiry date where applicable and note shortages, damage or substitutions. Do not tick the expected quantity if it did not arrive.
Add relevant receiving notes and delivery photos. Review each item’s recorded quantity and the overall checking progress.
When the check is ready, choose Complete and review the confirmation. Address any outstanding requirements or discrepancy reasons shown before confirming.
An authorised colleague can review the accepted receipt quantities and use Sync Order Items to post them to stock. Check the posting result before attempting another stock change.
If you cannot complete the job
Check any unchecked items, required explanations, your assignment and permissions. Pending, checking and completed describe the receiving workflow, not whether stock has been posted. Keep a record of discrepancies rather than changing the ordered quantity to hide them.
